Lane: AI call answering and dispatch for home services.

The system we built for a Toronto home-services company with several service lines across the GTA: phone line, AI voice agent, CRM, the owner’s Telegram and the technicians’ WhatsApp, in one flow.

The problem

Several service lines across the GTA. Calls at all hours, jobs spread across tools, and the owner as the bottleneck for every booking, assignment and follow-up.

The goal: every call becomes a documented job, the right tech gets it, the customer stays informed, and the owner steps in only when it matters.

Before Lane: a list of three missed calls, a sticky note reading 'Kim?? furnace clicks, no heat, call back, address?', and a dispatch chat asking who took the furnace call
What the day looked like before: missed calls, a sticky note and a chat with no address. Illustration from the Lane demo.

The system we built

Six parts in one flow, from the first ring to the closed job.

  1. Phone provider API

    Phone line

Business numbers connect through the phone provider’s API, so every call starts a flow.

  2. ElevenLabs

    AI voice agent

Answers, understands the issue, books a time and can hand over to a person.

  3. Supabase

    CRM

Customer, address, issue, priority and call summary are saved; repeat customers are recognized.

  4. Telegram Bot API

    Telegram alerts

One de-duplicated alert per new job, linking into Lane. Failed alerts are visible and retryable.

  5. Next.js

    Dispatch board

Jobs, technicians and the day’s schedule in one place, with customer status updates.

  6. WhatsApp

    Closeouts

Technicians close jobs from WhatsApp with a note and a photo.

Multi-business workspaces

Each service line keeps its own number, agent and records.

Security

Provider keys encrypted per workspace, row-level security on the database, contact details behind sign-in, and nothing sensitive in alerts or logs.

One job, start to finish

Screens from Lane’s public demo. The data is sample data for a fictional company.

  1. The call is answered

When nobody can pick up, after hours or mid-job, the voice agent answers on the business line.

Incoming call to the Northside HVAC line: the owner is marked 'on a job' and the phone agent is answering
  2. Every word is written down

The call is transcribed, so nothing gets lost between whoever answered and dispatch.

Call transcript: the agent asks who is calling; the caller gives her name, says the furnace clicks but there's no heat, and gives an address and a preferred time
  3. The call becomes a job

Customer, address, problem and preferred time are filled in from the call. Anything the agent didn’t hear stays blank. A Telegram alert goes out with a link to the job.

Job JOB-1042, furnace repair, with customer, phone, address, problem and requested time filled in, and a Telegram alert announcing the new ticket
  4. The owner approves the booking

Lane suggests a technician and a time by skill and workload. Nothing is booked until the owner taps Book it. Once a tech is assigned, the customer gets an ETA.

Next-up card: Kim Residence furnace repair, suggested for Elena Voss on Thursday 7 to 9 AM, with Book it and Change buttons
  5. The job is closed out

The technician closes the job from WhatsApp with a note and a photo. The total and payment are recorded, and the review request goes out.

Closed job: Kim Residence furnace repair, total 320 dollars paid by e-transfer, with a progress line from call to paid
  6. The numbers add up

Closed jobs roll up into revenue, profit and jobs done, per service line or for all of them.

What changed for the owner

  • Calls become jobs

Calls that used to go to voicemail, after hours or mid-job, are answered and written up as jobs with the caller’s details.

  • The owner stops being the switchboard

A new job arrives as one Telegram alert and one tap to approve, instead of every call going through the owner.

  • Closeouts happen on site

Technicians close jobs from WhatsApp with a note and a photo, and the review request follows on its own.

  • Each service line stays separate

Every business has its own number, agent and records, with the totals in one place.

We don’t publish the client’s call volumes or revenue. Every figure in the screenshots above is the demo’s sample data.

The same pattern, beyond phone calls

Lane is one example of a broader pattern: information arrives, gets structured, reaches the right system and person, and gets closed out, with a human only where it matters.

The same pattern runs quote requests, client onboarding, support tickets and order fulfilment: see business process automation and AI implementation. The phone side is our AI receptionist service.

Questions about Lane

Can you build a system like Lane for my business?

Yes. Lane’s pattern (phone → voice agent → CRM → alerts → closeout) fits most service businesses: clinics, cleaners, trades, property managers and more. We adapt the flow to how you work, and it doesn’t have to start with a phone call.

Do I have to replace my current tools to get a Lane-style system?

No. We can connect to the CRM and calendar you already use, or build a lightweight one like Lane’s if you don’t have one.

Is there a live demo of Lane?

Yes. Lane’s public demo follows one call from the first ring to paid, on sample data for a fictional company, Northside HVAC.
