Roll out ChatGPT, Claude or Grok across your whole team.
Most Toronto companies we meet have AI licences but no system. We connect the right models to your tools, train your team, set the guardrails and measure the hours saved.
Why licences alone don’t change how a team works
The usual picture: personal ChatGPT accounts, company data pasted into chats, no shared playbooks, and an AI that can’t see your email, files or CRM. Usage stalls after month one.
A rollout replaces that with:
- One approved toolset on business plans, with admin controls.
- Connections to your systems, so answers use real context.
- Shared playbooks for each team’s weekly tasks.
- Clear rules on data, approvals and what AI never does alone.
The rollout plan, phase by phase
One team first, then the rest of the company. Each phase ends with something your team can use.
| Phase | What happens | What you get |
|---|---|---|
| 1AuditBefore anything is set up | We list each team’s recurring tasks and rank them by hours spent, ease and risk, and time the target tasks to set a baseline. | A written roadmap |
| 2Choose the modelsPer job and budget | Grok, ChatGPT or Claude: business apps for daily work, APIs for custom workflows. See assistant setup. | One approved toolset, with admin controls |
| 3PilotOne team, two or three workflows | We connect Gmail or Outlook, Drive or SharePoint, calendars, HubSpot or Pipedrive, Slack or Teams through connectors, MCP or APIs, and organize SOPs, price lists, policies and past proposals so the AI answers from your sources. | Workflows running on real company context |
| 4Rollout and trainingTeam by team | Role-based sessions, a shared playbook library, internal champions and office hours. Guardrails go in at the same time: business plans that exclude your data from training by default, role-based access, approvals, an acceptable-use policy and logs. | A team that uses AI within clear rules |
| 5Measure and expandEvery month | A check on hours saved per workflow and adoption by team, then the next workflows. | Time saved, measured against the baseline |

Where AI usually pays off first
We start with frequent, text-heavy, low-risk work, so your team sees value in days.
- Inbox triage and first-draft replies in your tone.
- Meeting notes turned into CRM updates and tasks.
- Proposals and quotes drafted from your templates and price list.
- Internal questions answered from SOPs and policies.
- Weekly reports summarized from your CRM or spreadsheets.
- Support replies drafted for a person to approve.
Tasks that should run on their own move into business process automation or an AI agent.
Questions teams ask before an AI rollout
What does an AI implementation consultant actually do?
We work out where AI helps in your business, set up the tools and connections, write the rules, train your people and track the results. You end up with a working setup and a team that uses it every week.
How long does a company AI rollout take?
A pilot with one team on a few workflows usually takes a few weeks. A company-wide rollout depends on the number of teams and tools we connect; your plan states the timeline before you commit.
Do we have to standardize on one AI model?
No. Many companies use one assistant for everyday work and call other models through the API for specific jobs. We recommend the simplest setup that covers your use cases and budget.
How do you keep company data private when staff use AI?
We use business or API plans, which under the providers’ current terms exclude your data from training by default, plus SSO, role-based access and a written policy on what data may go in. Anything your legal counsel should review, such as PIPEDA questions, we flag.
How do you measure whether AI is saving time?
We time the target tasks before rollout and again after, alongside usage data from the admin consoles and short team check-ins. You see the hours saved per workflow, measured against that baseline.
How is an AI implementation project priced?
As a fixed-price project, scoped after a free call. Licences and API usage are billed by the providers directly to you; we estimate them up front.
